1. Contact Information

All questions concerning the Engineering Employment EXPO should be directed to Nikhil Kamath and Vivek Narayan (contact information listed below). The Spring and Fall Engineering Employment EXPO are both student-run events; therefore the EXPO Co-Directors will not be available at all hours of the work day (due to classes). Please excuse this inconvenience but understand that your questions and concerns will be answered promptly. 2. Important Dates, Registration Costs and Cancellations

Registration and Cancellation

March 15, 2017 Registration Opens
September 15, 2017 Registration Deadline

A late registration fee of $100 per table will be applied to all registrations received after 11:59 am CDT.

September 15, 2017 Cancellation Deadline: Last day to cancel registration with full refund

A cancellation fee (50% of registration costs) will be applied to all cancellations received after 11:59 am CDT.

September 25, 2017 Registration Fee Due

Companies who have not paid by this date must pay on arrival at EXPO or they may not be admitted to the career fair.

Costs

The cost of attending the fair is $600 per table per day. Companies may purchase up to two tables per day. Two representatives may attend the fair for each table purchased. Additional representatives may attend for a cost of $50 per representative per day. Each company may register a maximum of four representatives per table.

After completing registration, a confirmation email will be sent highlighting your company's registration details. You will be able to log in to your account and edit information at your convenience.

3. Startup Package

The Startup Package allows startup companies to register for EXPO at reduced rates.  In order to qualify as a startup, your company must meet the following qualifications:

  1. Be founded less than five years ago
  2. Have fewer than 100 employees

Startup companies will receive a 50% discount from the rates listed above.

4. Equipment Provided

Each company receives the following:

6'x3' table(s) and 2 chairs per table as well as an electrical outlet at each table. Wireless Internet at EXPO is provided to all companies via WIFI .

Note: No computing equipment, table cloths or other materials will be provided by the EXPO Committee

5. Daily Itinerary

8:30 am - 10:00 am** Registration and Set-up ARC Gym 1

**Company representatives are asked to arrive at least one hour prior to the event on the day of the fair for registration and set up. Registration will be held at the entrance of the ARC Gym 1. The ARC is located on Peabody Dr. Please refer to the Transportation Information section for more explicit details.

6. Luncheon

Lunch will be provided for all company representatives between 11:30 A.M. and 1:30 P.M. It will be served in Multi-Purpose Room 7 in the ARC. Any committee members and volunteers can answer questions pertaining to lunch during the fair.

Note: The fair will remain open to company representatives throughout the lunch period.

7. Interview Rooms

Interview Rooms are provided for companies to interview prospective students on campus during the week of EXPO. Interview Rooms are available in the following two time slots: 8:30am to 12:00pm, and 1:00pm to 4:30pm. You may reserve up to four interview rooms for each time slot.

  • If you would like to reserve more than four interview rooms for one time slot, you may request them via the “Special Requests” box below. In the event that extra rooms are available during that time slot, you will be notified via email. If you have the same room reserved for both the morning and afternoon sessions on a given day, you may utilize the room during lunch from 12:00 – 1:00 pm for additional interviews. However, if your room is reserved for only the morning session, we ask that you leave the room soon after 12:00 pm to allow the room to be prepared for the afternoon session.
  • To cancel all your rooms, simply update each time slot to 0 rooms. If you would like to cancel your rooms less than three weeks before EXPO, please email the Interview Rooms Co-Coordinators at interviewrooms@illinoisexpo.org.
  • Please add interviewrooms@illinoisexpo.org to your Safe Senders List.
Confirmation Emails
  • Three weeks before EXPO, an email will be sent out confirming number of room reservations you have with us.
  • Until three weeks before EXPO, you may log into your EXPO account at any time and view and change the number of requested interview rooms. After this point, interview room reservations are closed, and may no longer be edited. If you would like to add/drop interview rooms less than three before EXPO, you must email the Interview Room Co-Coordinators at interviewrooms@illinoisexpo.org.
  • Two weeks before EXPO, a more detailed confirmation email is sent out, containing exact locations of the reserved rooms.

8. Student Booklet Advertisements

The Engineering EXPO will discontinue using booklets starting from the Spring 2015 EXPO. If you would like to learn about sponsorship opportunities to highlight your company at EXPO, please contact the EXPO Co-Directors at codirectors@illinoisexpo.org.

9. Company Information Sessions

Information sessions give your company an opportunity to present general information about your company and current opportunities to Illinois Engineering Students. The EXPO Committee has space reserved for information sessions each evening after the career fair in one hour time slots. Pizza and soft drinks MAY be provided at each session, provided that you opt for it when you sign up for an info session at no additional cost.

If your company would like to hold an information session any evening of EXPO, you can submit a request when filling out the registration form. If you have any questions, you can contact the Info Sessions Coordinators at infosessions@illinoisexpo.org.

10. Shipping Information

To make the handling of company packages and displays most convenient for the company representatives, the EXPO committee has arranged to allow for independent shipping of packages.

Please ship your packages so that they arrive within our shipping window of September 18, 2017–September 25, 2017. The EXPO committee cannot guarantee the timely arrival of your packages if they are not received during this window. The EXPO Committee is not responsible and cannot be held liable for any packages that are lost or stolen whether they arrive in the shipping window or outside of it.

Only FedEx Express (NOT FedEx Ground) will be picking up packages directly from the ARC upon the conclusion of the fair. Bring your packaged items to be shipped to the registration desk at the end of the day. Each individual company is responsible for labeling their own packages. Labels will be provided.

If you intend to use a carrier other than FedEx Express, your representatives are responsible for arranging for the pickup as well as taking care of any other details, including being present when their scheduled pick up driver comes to pick up their package. The EXPO Committee will NOT handle the return of any shipments if you are using UPS or any carrier other than FedEX Express. Please ensure your attending representatives are AWARE of this information.

11. Parking Information

EXPO parking will be in Lot E14 which is south of the ARC. There will be shuttles running from Lot E14 to the ARC.

You do not need a parking pass to park in Lot E14. However, if there are any packages you brought with you and would like to be taken up to your table, please bring them to the North Entrance of the ARC. Our Committee Members will be present to receive them and bring them to your table.

13. Lodging Information

The I Hotel is the official hotel of the Engineering Employment EXPO. Located just south of Assembly Hall, the I Hotel and Conference Center is Champaign-Urbana's only facility constructed to Four Diamond standards. Among RUSK products, 32" LCD TV's, and iHome iPod docking stations, complimentary shuttling is available to/from any campus building, Willard Airport (CMI), and Illinois Terminal for Greyhound and Amtrak transportation. The I Hotel is also home to one Zip Car, a fast and easy way to get to the EXPO. All guests receive a choice of complimentary breakfast at their iCafé (Starbucks coffee/tea/soda and pastry) OR 50% off any breakfast entrée at Houlihan's Restaurant. Houlihan's is also open for lunch, dinner, and drinks.

14. EXPO Networking Social

The Engineering Employment EXPO Networking Social is an event hosted for companies and students to meet in a more casual setting. It is hosted in a large open area encouraging students to mingle and introduce themselves to employers. Food is provided to both employers and students.Resumes are not allowed in this event (although we do encourage recruiters to bring business cards to hand out).

The event will be hosted on the first night of EXPO, September 25, 2017. If you are interested in participating in this event, please mark your interest in the registration form and be in the look for an email from out Networking Social Coordinators once details are finalized.
